Google Sheets doesn't have a dedicated "Export as PDF" button the way desktop spreadsheet apps do, but it does let you download any sheet or selection as a PDF with a reasonable amount of control over how it looks. The process takes a few more steps than you might expect, but once you know where the settings are, it's straightforward.

Open your Google Sheet. Go to File > Download > PDF (.pdf). This opens Google's print settings dialog in a new window โ€” despite the name, it's actually a PDF export dialog, not a print-to-paper dialog.

Before clicking Export, take a moment to review the settings in the right panel. The defaults often produce a PDF that doesn't look exactly like your spreadsheet, particularly if your sheet is wide or has many columns.

Key PDF Export Settings in Google Sheets

The settings panel on the right side of the export dialog controls how your data is laid out on the PDF pages. The most important options:

  • Paper size: Choose A4 or Letter depending on your audience. Wider sheets often look better in Landscape orientation.
  • Scale: "Fit to width" is usually the most reliable option for wide spreadsheets โ€” it squeezes all columns onto a single page width. "Normal" scale may cut off columns on the right.
  • Margins: Narrow margins give more space for data. For sharing, Normal margins look more professional.
  • Gridlines: Turn these on if you want visible borders between cells even where you haven't set explicit borders in the sheet.
  • Repeat frozen rows: If your sheet has header rows frozen, enable this to repeat them at the top of every PDF page.

Exporting a Specific Sheet or Range as PDF

By default, Google Sheets exports the currently active sheet. If your file has multiple tabs, only the one you're viewing will be exported. To export all sheets, look for the "Export" dropdown at the top of the dialog and switch from "Current sheet" to "Workbook".

To export only a specific range of cells โ€” for example, a summary table โ€” select those cells in the sheet before opening the export dialog. In the dialog, change the export option to "Selected cells" and the PDF will contain only that portion of the sheet.

Why Your Google Sheets PDF Looks Different From the Screen

The most common complaint about Google Sheets PDF exports is that columns get cut off or the layout looks cramped. This happens because the default scale setting tries to fit the content onto standard page sizes, which doesn't always match how wide your data is.

Fix it by switching the orientation to Landscape and setting the scale to "Fit to width." If the data still looks too compressed, consider hiding less important columns before exporting, or splitting the sheet into multiple exports if the data is genuinely too wide for a single page.

Converting Google Sheets to PDF on Mobile

The Google Sheets mobile app supports PDF export but with fewer layout options than the desktop version. Tap the three-dot menu, select Share & export, then Save as. Choose PDF from the format list and tap Save.

If the mobile export doesn't look right, open the same sheet in a desktop browser and use the File > Download > PDF route โ€” you'll have much more control over the output.

After Export: Working With the PDF

Once you have the PDF, you can treat it like any other document. If you need to combine it with other files โ€” for instance, adding a cover page or appending a chart from another source โ€” WukongPDF's Merge PDF tool handles that quickly.
