Why Does My PDF Look Good on Screen but Bad in Print?

A PDF that looks crisp on screen but blurry, faded, or color-shifted when printed has a resolution or color space mismatch. Screens and printers work differently โ€” screens display light, printers deposit ink โ€” and a file optimized for one can look wrong on the other. The specific cause determines the fix.

Low Image Resolution: The Most Common Cause

Screens typically display at 72-96 pixels per inch (PPI). An image at 96 DPI looks sharp on screen because the screen doesn't have more pixels than the image is providing. Printers typically require 200-300 DPI at the print size to appear sharp. An image that's 96 DPI looks fine on screen but prints soft or pixelated because the printer is stretching too few pixels across too large a physical area.

This is the most common reason for PDFs that look good on screen but bad in print. The images were optimized for web or screen viewing, not for print. The fix requires higher-resolution source images โ€” you can't improve print quality by upscaling low-resolution images, because the pixel data isn't there to begin with.

RGB Colors Printing as Unexpected CMYK

Screens display color in RGB (red, green, blue). Printers use CMYK (cyan, magenta, yellow, black). These color models have different gamuts โ€” ranges of colors they can represent. Vivid RGB blues, electric greens, and bright oranges often can't be reproduced exactly in CMYK, and when an RGB PDF is printed, those colors shift to their closest CMYK equivalents.

The result is a print that looks noticeably duller or color-shifted compared to the screen version. The screen shows vibrant colors using light; the print shows the colors that ink can achieve on paper, which is a smaller range. For documents where color accuracy matters, convert to CMYK in your design software before exporting to PDF and check the print proof before printing a full run.

Printer Settings Reducing Quality

Before concluding the PDF is the problem, check the printer settings. Many office printers default to draft or economy mode, which uses less ink and produces lower quality output. The same PDF printed on the same printer in high quality mode often looks dramatically different โ€” sharper, with better color.

Open the print dialog, find the quality settings, and select the highest quality option available. For color documents, confirm color printing is selected rather than grayscale. Test with a single page before printing a full document.

Screen Brightness Makes Things Look Better Than They Are

Screens are backlit and often calibrated to look vivid โ€” higher contrast, more saturated colors, brighter whites than paper can achieve. Even a well-designed, properly prepared PDF will look different on paper than on screen simply because the media are fundamentally different. Paper is reflective rather than emissive; whites are the color of the paper, not pure white light.

This difference is inherent and not fully fixable โ€” it's the nature of screen vs. print. Professional designers use calibrated monitors and soft-proofing (simulating the print output on screen) to design for how things will look in print rather than how they look on an uncalibrated screen.

Fixing a PDF That Prints Poorly

If the PDF prints poorly and you have the source document, the fix is to update the images to 300 DPI versions, convert colors to CMYK if needed, and re-export. If you only have the PDF and need to improve print quality, options are limited โ€” you can't add resolution to low-resolution embedded images.

For text-only quality issues, running the PDF through a PDF Compression tool with conservative settings sometimes improves print output by rebuilding the content streams with better encoding. For image quality, if the images in the source were high resolution but compressed too aggressively during export, re-exporting at higher image quality settings from the source produces noticeably better print results.
