Conducting a Comprehensive Search for Every Form of Price Data
Price information takes many different forms throughout a typical business document, and a search for dollar signs alone will miss most of it. Unit costs appear in rate tables as numbers in specific columns, often without currency symbols because the column header already indicates the unit. Total costs aggregate in summary sections, sometimes formatted as bold numbers at the bottom of tables. Markup percentages appear in margin calculations, frequently as small-font notes or parenthetical values. Hourly rates hide in staffing plans, job titles mapped to billing rates in a separate table. Taxes and fees break out as line items with their own labels and calculations. Search comprehensively for every currency symbol, every occurrence of the words rate, price, cost, fee, markup, and margin, and every number that appears in a column labeled with any financial term.
Price data also appears in document locations that a text search of the body content will miss. Headers and footers may contain project codes that encode billing rate tiers. Document metadata fields, Title, Subject, Author, Keywords, may contain the original proposal amount or internal project identifiers. Comments and annotations left by reviewers may reference pricing discussions. A comprehensive search must cover the body text, headers, footers, metadata, and annotations. The most dangerous redaction failure is the one you never looked for because you did not think to search that location.
Redacting Price Columns Inside Tables While Preserving Table Structure
Redacting individual cells within a pricing table, the unit cost column, the markup percentage column, the internal rate column, removes the sensitive financial data while the surrounding table grid and all non-sensitive columns remain intact and readable. Draw a redaction rectangle that covers the entire column from the header row to the last data row. Apply the redaction. Every cell in that column, including the header label, is permanently removed. The table may shift slightly to close the gap or may display an empty column space, depending on the PDF editor's behavior.
Performing True Data-Level Redaction, Not Cosmetic Covering

Verifying Complete Redaction Through Multiple Recovery Tests
After applying all redactions and saving the redacted file, verification testing must confirm that no price data survived through any recovery path. Copy all text from the redacted document, paste it into a plain text editor, and search the pasted text for every currency symbol, financial term, and known dollar amount from the original. Export the redacted PDF to a text file or Word document, which extracts all text from the content stream including text that might be hidden behind visual elements, and search the exported text. Check every metadata field in Document Properties. Open the redacted file in a different PDF viewer to confirm the redactions are consistently applied.
For high-stakes documents, proposals where the margin exposure could cost the business significantly, have a second person independently attempt to recover redacted content. Provide them with the redacted PDF but not the original. Ask them to find any price, rate, or cost information using whatever tools and techniques they choose. A successful recovery by your internal tester is an opportunity to fix the redaction process before the document reaches the client. An unsuccessful recovery by your tester provides confidence that the client will similarly find nothing.
