Tips for Precise Manual Redaction on Scanned Documents
Zoom to 200% or 300% when drawing redaction rectangles over handwritten marks. At normal zoom, a handwritten name might be 1 inch wide and 0.25 inches tall. The redaction rectangle needs to cover the full extent of the handwriting, including descenders on letters like g, j, p, q, and y that extend below the baseline, and ascenders on letters like b, d, f, h, k, l, t that extend above.
Extend the rectangle slightly beyond the visible ink on all sides. Handwriting has micro-variations in ink density. The dark core of a pen stroke is surrounded by a lighter halo where the ink thins out. A rectangle that covers only the dark core may leave the halo visible, and a determined person can still read the name from the halo. Extending the rectangle by 1 to 2 millimeters beyond the visible ink ensures complete removal.
For margin scribbles that extend close to the printed content, redact conservatively. A redaction rectangle that overlaps the printed question text removes both the scribble and the question. Adjust the rectangle to cover only the handwritten mark, even if it means leaving a sliver of blank space visible. Preserving the content is as important as removing the mark.
Verifying Handwritten Redactions
After applying redaction, verify each marked area carefully. Zoom to 200% on each redaction. Check that no handwritten marks are visible around the edges of the overlay. Check that the overlay did not cover any printed content that should remain visible. The verification step for manual redaction is more thorough than for search-based redaction because there is no automated search to confirm that all instances were found. You must visually confirm each one.
Run OCR on the redacted PDF and search for the redacted name. If the OCR recognizes handwriting, which it often does imperfectly, the search might find fragments of the name that were not fully covered by the redaction rectangle. If the search returns any results, those areas need additional redaction. This OCR-search verification catches missed marks that visual inspection overlooked. When Handwriting Redaction Needs OCR Assistance
For documents with hundreds of handwritten marks to redact, manual marking becomes impractical. Run OCR on the scan first to recognize the handwriting. Use these OCR hits as a guide for where to place redaction marks, then visually verify each one. The OCR-assisted workflow combines the speed of search-based marking with the precision of visual verification.
For forms that are filled out by hand and need redaction before being shared as examples, a two-step redaction approach works best. First, create a copy of the scanned document and redact all identifying information on the copy. Second, verify that the redacted copy does not contain any handwritten marks that could be traced back to the original author. This is particularly important for student work, medical records, and legal documents where handwritten marks carry identifying characteristics beyond just the text content. A distinctive handwriting style, a particular way of forming certain letters, can identify the writer even without seeing their name.
